Terms of Use
These Terms of Use form a binding agreement between you (“Customer” or
“User”)
and AgentMIM. By accessing or using any AgentMIM application, API, or related services
(collectively, the “Service”), you acknowledge that you have read, understood, and agree
to be
bound by these Terms.
- Authorized Use. You will only access the Service for lawful business purposes
and in accordance with all applicable laws and regulations.
- Account Security. You are responsible for safeguarding login credentials,
enforcing strong passwords, and promptly notifying AgentMIM of any unauthorized use.
- Compliance. You will ensure your staff and contractors comply with these Terms,
AgentMIM policies, and data-protection standards relevant to your jurisdiction.
- Payment. Paid subscriptions and add-ons are billed according to the plan
selected. Fees are non-refundable except where required by law.
- Termination. AgentMIM may suspend or terminate access if you violate these
Terms or use the Service in a manner that could harm the platform or other users.
Messaging and Call Notifications
AgentMIM may provide account notifications, login verification codes, appointment reminders,
service alerts, and support communications by email, SMS/text message, voice call, or similar
communication channels when you choose to enable those options.
- Consent. SMS, voice, and email notification preferences are controlled by the
user during account setup or from the logged-in Profile / Consents area. Optional messaging
checkboxes are not pre-selected.
- Message Frequency. Message frequency varies based on account activity,
notification settings, reminders, security events, and service alerts.
- Costs. Message and data rates may apply. Voice call charges may apply based on
your carrier or phone plan.
- Opt Out. You may opt out of SMS notifications by replying STOP, STOPALL,
UNSUBSCRIBE, CANCEL, END, QUIT, OPTOUT, or REVOKE. You may reply START to resubscribe when
supported.
- Help. You may reply HELP or INFO for SMS help instructions.
- Not a Condition of Purchase. Consent to receive SMS or voice notifications is
not a condition of purchasing or using paid AgentMIM services.
Continued use of the Service after updates to these Terms constitutes acceptance of the revised
version.
Privacy Policy
AgentMIM values transparency and respects your privacy. This Privacy Policy explains the categories
of
personal information we collect, how we use it, and the safeguards in place to protect it.
- Data We Collect. Account identifiers, contact details, configuration settings,
uploaded files, usage metrics, notification preferences, SMS/voice consent records, call and
message metadata, and support conversations.
- How We Use Data. To provide, secure, and improve the Service; respond to
support requests; send operational notices, login verification codes, appointment reminders,
service alerts, and account-related messages; and fulfill legal obligations.
- Sharing. We do not sell personal information. Limited sharing occurs with
vetted subprocessors who assist in delivering the Service (e.g., hosting, analytics, and
communications providers) under contractual confidentiality requirements.
- SMS Consent Data. SMS opt-in data, mobile phone numbers, and SMS consent
records are not shared with third parties or affiliates for marketing or promotional purposes.
- Communications Providers. We may use service providers such as email, SMS,
voice, hosting, security, and analytics vendors to deliver account notifications, verification
codes, reminders, and support communications on our behalf.
- User Controls. Users can manage SMS, voice, and email preferences from the
logged-in Profile / Consents area. SMS users may also opt out by replying STOP or request help
by replying HELP.
- Retention. Data is retained for as long as your account remains active or as
needed to comply with legal requirements. You may request deletion or export of your data at any
time.
- Security. We employ encryption in transit and at rest, role-based access,
monitoring, and regular security reviews to safeguard customer information.

SMS and Voice Notification Policy
AgentMIM SMS and voice communications are intended for registered AgentMIM users who have opted in
to receive account-related notifications. These messages may include login verification codes,
account notifications, appointment reminders, service alerts, and support updates.
- Opt-In Path. Users opt in during account setup at
https://www.agentmim.com or later from their logged-in
Profile / Consents page. Users must actively select the SMS, voice, or email notification
option they want to enable.
- Opt-In Keywords. Supported opt-in keywords include START, YES, Y, OPTIN, and
SUBSCRIBE.
- Opt-Out Keywords. Supported opt-out keywords include STOP, STOPALL,
UNSUBSCRIBE, CANCEL, END, QUIT, OPTOUT, and REVOKE.
- Help Keywords. Supported help keywords include HELP and INFO.
- Message Content. Messages identify AgentMIM when practical and may include
account reminders, verification codes, service status, and support information.

HIPAA Compliance
AgentMIM was built with protected health information (PHI) considerations in mind. While HIPAA
compliance
ultimately depends on how our customers configure and use the Service, we support HIPAA-aligned
deployments
through the following controls:
- Business Associate Agreements (BAA). We will enter into a BAA with covered
entities and business associates that require one.
- Access Controls. Role-based permissions, audit logging, and mandatory
multi-factor authentication options help enforce least privilege.
- Audit & Monitoring. Activity logs and automated monitoring help detect
unauthorized behavior and support breach-notification obligations.
- Data Safeguards. Encryption, network segmentation, and secure development
practices guard PHI against unauthorized disclosure.
Customers are responsible for configuring user roles, documenting policies, training staff, and
fulfilling
any other obligations required under HIPAA. Contact your account representative to request a copy of
our
HIPAA readiness documentation or to execute a BAA.
